Coworking day passes: when they make sense and when they do not

A day pass lets you use a coworking space for a single day. It is ideal in some situations and poor value in others. Here is how to tell which is which.

A coworking day pass lets you walk into a workspace, sit at an open desk and work for a day without signing up for a monthly plan. It is the most flexible way to use coworking, and it is also easy to overuse. If you buy enough day passes, you end up paying more than a monthly member for less certainty. This guide explains when a pass is the smart choice, when it is not, and how to get good value from one.

What a day pass usually includes

  • An open, unreserved desk for the operator's day-pass hours.
  • Wi-Fi, power points, AC and power backup.
  • Access to the pantry, often with tea, coffee and water.
  • Washrooms and common areas.

Commonly extra: meeting rooms, printing, parking, lockers and food. Always check, because inclusions vary.

When a day pass makes sense

  • Trying a space. Before you commit to a monthly plan, a day at a real desk tells you more than a tour.
  • Occasional deep-work days. If home is fine most days but you need quiet once a week, a pass is ideal.
  • Travel. Visiting another city for a few days of meetings? A pass near your clients beats working from a hotel room. For example, you might book a desk at a coworking space in Mumbai near your meetings.
  • Power or internet outages at home. A pass is a quick backup.
  • Team days. A small remote team can meet in one place a few times a month.
  • Client meetings combined with a meeting room booking.

When it does not make sense

  • You go most weekdays. Once you are buying passes for more than a few days a week, a monthly hot desk is usually cheaper and guarantees a seat.
  • You need storage. Day-pass users carry everything in and out.
  • You need the same seat or a monitor. Passes come with whatever desk is free.
  • You need a registered business address. A day pass does not include one; a virtual office does.
  • You need guaranteed space at peak times. Day-pass seats can run out in popular areas.

Day pass or monthly plan: a quick check

Your patternLikely best option
One or two days a monthDay passes
One day a weekDay passes, or a part-time plan if offered
Two or three days a weekPart-time plan; compare against passes
Four or more days a weekMonthly hot or dedicated desk

Work out the break-even yourself: divide the monthly hot-desk price by the day-pass price. If you will use more days than that number, the monthly plan wins. Our guide to desk and cabin types explains the monthly options.

Getting the most from a day pass

  1. Book ahead and confirm the opening hours for pass holders.
  2. Arrive early to get a seat near a plug point and away from the pantry.
  3. Carry the essentials: charger, a multi-plug if allowed, headphones, a water bottle and an ID for registration.
  4. Ask about phone booths before you need one.
  5. Book a meeting room in advance if you have a client meeting; see booking a meeting room by the hour.
  6. Ask for a GST invoice if you are registered.

Using passes to choose a long-term space

If you are planning to take a monthly desk, spend a day in each of your top two or three spaces. Arrive at the time you normally would, take your usual calls and stay until you would normally leave. Notice how long the commute really took, how the internet held up on video calls, whether the AC was comfortable all day and whether you could actually concentrate. That experience is worth far more than a brochure. Our list of questions to ask on a tour is useful during these trial days.

Common day-pass frustrations, and how to avoid them

  • Arriving to find no seats. Book ahead and get a confirmation message.
  • Restricted hours. Some spaces limit pass holders to standard office hours even if members have longer access. Check before planning a late session.
  • Guest Wi-Fi only. Pass holders are sometimes on a separate, slower network. Ask which network you will use.
  • Unexpected extras. Coffee, printing or parking may be charged separately. Ask at check-in so the bill is not a surprise.

A note for teams

Companies with remote staff sometimes buy day passes in bulk for employees to use when they need to. If you are an employee who would benefit from this, a short written proposal to your manager, with costs and a trial period, is the best way to raise it.

Finding a day pass

Finally, treat a day pass as a guest experience. Keep calls short and in booths, clean up after yourself and respect members' fixed desks, which are not available to pass holders even if they look empty.

On Coworks, filter listings by the day pass option in your city and area, shortlist a few and enquire directly. Spaces respond to you themselves, and you pay them directly with no brokerage on top.

Questions people ask

What does a coworking day pass usually include?

Typically an open desk for the day, Wi-Fi, power, AC and access to the pantry. Meeting rooms, printing and parking are often extra, so check before you go.

Do I need to book a day pass in advance?

It is wise to book, especially in busy business districts, because day-pass seats can be limited. Some spaces accept walk-ins if seats are free.

Can I get a GST invoice for a day pass?

A GST-registered operator should be able to issue one. Ask for it at the time of payment with your business name and GSTIN.
